Standard Terms And Conditions For Outbound Tours

Customers are deemed to have read, understood and accepted the following terms and conditions.
Appointed agents shall also be known as “The Company” in the terms and conditions listed below:

1. TOUR DEPOSIT AND BALANCE

A deposit must be paid as a reservation fee. The balance of full payment must be paid within a limited period of time as informed by us, and the latest by 45 days before the date of departure. Failure to comply with this requirement may result in the cancellation of the reservation and forfeiture of the deposit. 

2.  AMENDMENT CHARGES

2.1 For Free Independent Traveller (FIT) Tour

    • Upon confirmation of the tour, any subsequent changes made to the reservation is subject to an amendment charge of RM50.00 per person per change.

    • No change can be made within 14 days before the date of departure.

    • Any request for changes to the tours will be subject to the conditions of the respective airlines or operators of the optional activities. Please note that changes may incur additional charges.
    • Changing the entire reservation constitutes a cancellation of the original reservation and is subject to cancellation charges as defined in the cancellation policy (see clause 3.1- for FIT tour). 

2.2   For Group Tour

    • Upon confirmation of the tour, no changes can be made.

    • Any request from any member for any change to come back earlier or later than the group will be subject to the conditions of the respective airlines or operators of the optional activities.

    • Changing the entire reservation constitutes a cancellation of the original reservation and is subject to cancellation charges as defined in the cancellation policy (see clause 3.2- for For Group Tour).

3. Cancellation Fees Due to Trip Member Cancellation

3.1 Any tour member withdrawing from the tour must notify us in writing via message or email. Verbal notifications will not be considered valid.

3.2 If a tour member wishes to withdraw from the tour after full payment has been made, our company will refund a portion of the amount based on individual circumstances (refer to 3.3, 3.4, and 3.5).

Any expenses already incurred, as well as non-refundable fees from relevant authorities—such as domestic air tickets, real-name train tickets, or other tickets included in the travel cost—will not be refunded.

3.3 Cancellation Policy for Free Independent Travelers (FIT)

3.3.1 If the tour is confirmed and a replacement is not found, the following cancellation fees apply based on the time we receive the cancellation notice:

  • 45 days or more before departure: The travel deposit is non-refundable.
  • 22 to 44 days before departure: 70% of the travel cost is non-refundable.
  • Within 21 days before departure: 100% of the travel cost is non-refundable.

3.4 Cancellation Policy for Group Tours

3.4.1 Before the tour is confirmed

You may choose to transfer your full deposit to another tour or receive a full refund, subject to a RM100 administrative fee deduction.

3.4.2 After the tour is confirmed

  • If you find a replacement or if we successfully resell your spot, you may choose to transfer your full deposit to another tour or receive a full refund, subject to a RM100 administrative fee deduction.
  • If a replacement is not found, the following cancellation fees apply based on the time we receive the cancellation notice:
    • 45 days or more before departure: The travel deposit is non-refundable.
    • 22 to 44 days before departure: 70% of the travel cost is non-refundable.
      (Any incurred expenses and non-refundable fees from relevant authorities, such as domestic air tickets, real-name train tickets, or other tickets included in the travel cost, will not be refunded.)
    • Within 21 days before departure: 100% of the travel cost is non-refundable.

3.5 Cancellation Policy for Private Group Tours

3.5.1 If you find a replacement, you may choose to transfer your full deposit to another tour with our company or receive a full refund, subject to a RM100 administrative fee deduction.

3.5.2 The private group tour cost is determined based on the initial number of participants. If the number of participants decreases, additional tour fees may apply.

3.5.3 If cancellations reduce the group size below the minimum required for a private tour, our company reserves the right to:
a. Cancel the tour, offering appropriate refunds or alternative tour arrangements; or
b. Convert the private tour into a public tour, informing all members about the changes.

3.6 Impact of Tour Member Cancellation on Other Travelers

  • If a group member cancels, reducing the group size below the required minimum for a discount, you may lose your discounted price.
  • If your roommate cancels, you may need to pay a single supplement fee and cover additional costs.


3.7 Visa Rejection Before Departure

If tour member’s visa application is rejected before departure, they may choose to withdraw from the tour and request a refund. Our company will refund a portion of the amount based on individual circumstances (refer to 3.3, 3.4, and 3.5).

 

 

4. COMPANY CANCELLATIONS

    • In the event of unforeseen circumstances or force majeure (including but not limited to weather, tides, natural factors, transportation delays/cancellations, illness, pandemics, strikes, war, government policies, or other reasons), we reserve the right to modify, cancel, or postpone the trip at any time. Please note that refunds may not be available, or additional costs may be incurred, depending on the specific situation.

    • If cancellations occur due to internal company factors, such as not meeting the minimum number of participants for the group or unpredictable situations with the tour leader’s arrangements, we will provide a full refund. Alternatively, you may choose to switch to another trip.

5.  RESPONSIBILITIES

5.1  Responsibilities of Tour Members

    • Tour members are responsible for any economic losses and additional expenses caused by delays due to weather, natural disasters, human factors, flights, transportation, road conditions, political situations, and other uncontrollable factors.

    • Tour members must possess: an international passport or other recognized travel documents with a validity of at least 6 months from the date of return to the home country;

    • Necessary visas, vaccinations, and health certificates as required by the authorities of the countries visited.

    • If any tour member is refused entry or deported by immigration authorities due to carrying illegal items, possessing improper travel documents, or other reasons, or if their behavior and activities are deemed harmful by a foreign government, the company is not responsible for any costs or compensation, nor will the tour price be refunded.

    • Service fees and visa fees will be fully borne by the tour members.

5.2   Relevant Fees and Charges

    • Service charges and visa fees levied shall be borne entirely by the tour members.

5.3  Refusal Entry

  • The company shall not be held responsible or liable for any expenses, reimbursement or refund of tour prices if any tour member is refused entry or deported by immigration authorities resulting from the possession of unlawful items or holding improper travel documents or other causes, or whose behavior and activities are considered to be detrimental by a foreign government.

6. TOUR INFORMATION AND PRICES

6.1  Prices shown are current at the time of publication.

The prices are subject to change due to an increase in airfares, and other transportation costs, hotel rates, exchange rates, government tax, etc. Therefore the company reserves the right to increase prices on condition that it informs the customers accordingly before the confirmation of the tour.

6.2 Optional activities 

Optional activities not included in the tour fees do not form part of the trip or this contract. You accept that any assistance, recommendations or advice given by your group leader or local representative in arranging optional activities (including before or after a trip) does not render us liable for them in any way. The contract for the provision of that activity will be between you and the activity provider.

For operational reasons, not all excursions listed on the tour itinerary may be available during the tour. All additional and, or optional excursions are not guaranteed to operate.

6.3 The company covenants for the following to be included in tour fare:-

 

6.3.1 Hotel accommodation, based on:
-Twin sharing basic (2 persons to a room)
-Single supplement (person staying alone-the person concerned must pay the single supplement.)
-Triple sharing (3 persons travelling together). For a group of three persons, accommodation is based on triple sharing basis where applicable, according to each tour.

6.3.2 Meals, sightseeing, transport and other items specified as included in the itinerary.

6.3.3 Items not included in the tour fare are:
-Laundry
-Food and beverages not listed in the itinerary
-Optional activities
-Personal nature items and incidents

 
7. REFUND For UNUSED SERVICES

7.1 No refunds or reductions will be given for unused airfare, accommodation, meals, sightseeing tours, transportation, or other services due to personal reasons.

7.2 If a tour member fails to show up on the departure date, the full tour fee will be forfeited.

7.3 If a member chooses to end the trip early, they will not receive any refunds.

8.  POSSIBLE CHANGES 

Airlines schedules or local conditions may require sightseeing tours, hotels and routes to be changed. Should this occur, the company shall make alternative arrangements subject to local conditions.

9. RIGHT TO REJECT

9.1 Before departure, if financial depreciation, exchange rate fluctuations, or increased costs in foreign transportation, accommodation, or airfare occur, our company reserves the right to adjust the travel price accordingly.

9.2 If unforeseen circumstances or force majeure affect the itinerary, our company reserves the right to adjust accommodation arrangements or the travel itinerary, including changing the departure date.

10. BAGGAGE

Free airline baggage allowance is provided by the airlines and the quantum and conditions may differ from one airline to another and from one airport authority to another. The same applies to hand-carried baggage aboard the aircraft. Passengers are advised to check the allowance and ensure their baggage meets the size and weight requirements.

11. FLIGHT PURCHASE SERVICE

11.1 Full payment of the cost of your chosen flight booking and applicable administration fees is required at the time of booking.

11.2 It is your responsibility to review your booking confirmation and travel documents on receipt and immediately inform us of any incorrect details. The passenger name(s) on travel documents must exactly match the passport(s). We will not be liable if an airline denies boarding due to a name mismatch between passport and ticket, unless we are responsible for the error.

11.3 Any requested changes to confirmed flight bookings must be informed to us in writing immediately by the first named passenger. We will attempt to accommodate changes, but cannot guarantee meeting all requests. You will be required to pay an administration fee of per person, per change, plus any airline fees.

11.4 Our responsibility is limited to booking flights according to your instructions. We provide schedule advice but are not liable if you select alternative timings. We accept no responsibility for any booking information relayed in good faith.

11.5 Your booking is subject to the terms and conditions of the relevant airline.

11.6 We are not liable for any losses, damages, or expenses incurred due to flight delays, cancellations, or other events beyond our control.

11.7 You are fully responsible for completing your own flight check-in and staying updated on your booking status, itinerary changes, applicable baggage restrictions, and any other flight details. We cannot be held liable for any issues arising from your failure to properly complete check-in procedures or stay informed about your booking via the operating airline and due to non-compliance with airline policies and regulations.

12. COMPLAINTS

12.1. If you have a problem or complaint during your holiday, please inform the relevant supplier (e.g. the hotel owner) and our tour leader/ representative as soon as possible. They will try to rectify the problem immediately. However, if the problem or complaint is not resolved to your satisfaction, you should write to us within 28 days of the end of your holiday.

12.2. In the event of a problem or complaint involving the negligence of any of our operators or drivers (as opposed to any negligence on our part or on the part of any of our employees acting within the course of their employment), we cannot accept any liability if you do not report the complaint during the tour (in accordance with the procedure set out above).

12.3. We aim to respond to any complaints within 28 days, although this can sometimes take longer as we have to investigate and may need to wait for replies from suppliers or other third parties.

13.TRAVEL INSURANCE

To ensure you are protected during your trip, you must purchase your own international travel insurance.
Our company will not be responsible for any losses due to insufficient or lack of travel insurance.

14. MEDIA CAPTURED

Bucket List Travel & Vacations reserves the right to publish or print any photographic materials taken during the tour for advertising, promotional and other purposes, in any manner, in any and all media, now or hereafter devised, without further payment or consideration, notification or permission, unless notified otherwise by tour members.

15.  DATA PROTECTION

15.1 We collect information such as your name, contact details, payment information, travel preferences, and passport details to provide you with travel services.

15.2 We may share necessary information with airlines, hotels, and relevant authorities to facilitate your travel arrangements.

15.3 Your data may be transferred to countries outside of your jurisdiction to fulfill travel requirements. We ensure such transfers comply with data protection laws.

15.4 We retain your data as long as necessary for the purposes mentioned or as required by law.
